Privacy Policy — Quality Wheels Inc.

Quality Wheels Inc. (“Quality Wheels,” “we,” “us”) operates a motor carrier business and recruits and employs commercial drivers. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and what choices you have.

It applies to:

  • Visitors to qualitywheelsinc.com
  • People who apply to drive for us, and our drivers and employees
  • People who contact us by phone, text, email, or social media
  • Business contacts at our customers, brokers, and vendors

 1. Information we collect

If you visit our website

Server logs (IP address, browser and device type, pages visited, referring page) and cookie data. See Section 10 for cookies.

If you apply to drive for us

Applications reach us through our website, job boards such as Indeed, Facebook and Instagram lead forms, applicant systems such as Tenstreet, driver referrals, and direct contact. Depending on how far the process goes, we collect:

  • Identity and contact details — name, phone number(s), email, mailing address, date of birth, and emergency contact information
  • Social Security number, where required for background screening, tax reporting, and federally mandated records. Stored encrypted.
  • Licensing — CDL number, class, state, endorsements, restrictions, and expiration dates
  • Driving and employment history — previous employers, dates, positions, equipment operated, accidents and violations, and years of experience
  • Medical certification — DOT medical examiner’s certificate and expiration date. We do not collect or retain underlying medical records beyond the certification and any documentation required by DOT rules.
  • Documents you submit — licenses, certificates, résumés, and similar
  • Correspondence — calls, texts, emails, and social media messages exchanged with our recruiters, including recordings and transcripts (Sections 4 and 5)

Background screening

With your signed authorization, and separately from this Policy as required by the Fair Credit Reporting Act (FCRA) and comparable state laws, we obtain:

  • Motor Vehicle Records (MVR) at hire and periodically during employment, through an authorized screening provider
  • FMCSA Pre-Employment Screening Program (PSP) records — crash and inspection history
  • FMCSA Drug and Alcohol Clearinghouse queries, pre-employment and annually
  • Drug and alcohol test results, through certified collection sites and laboratories
  • Employment verifications from previous DOT-regulated employers, as 49 CFR Part 391 requires

You receive a separate disclosure and authorization before these are obtained, and you have rights under the FCRA regarding the reports, including the right to a copy and to dispute inaccuracies.

If you drive for us

  • Payroll and tax information — compensation, settlements, deductions, advances, escrow, and tax withholding records
  • Bank account details for direct deposit, verified through Plaid. Plaid transmits your routing number, account number, account type, account holder name, and institution name. We do not receive your bank login credentials, balances, or transaction history.
  • Fuel card and toll transactions, through our fuel card and toll providers
  • Vehicle and driving data from electronic logging devices and telematics hardware: GPS location, hours of service, engine and fault data, speed, and driving events
  • In-cab and outward camera footage captured by safety event recorders on certain vehicles 
  • Inspection and maintenance records — DVIRs, roadside inspections, and accident reports

Location, telematics, and camera data are collected while you are operating a company vehicle, for safety, dispatch, and regulatory compliance. 

If you are a business contact

Name, business contact details, company, and correspondence, plus credit and payment information for customers and brokers.

 2. How we use information

  • Evaluate applications and make hiring decisions
  • Verify qualifications and maintain Driver Qualification Files as 49 CFR Part 391 requires
  • Meet DOT, FMCSA, and state regulatory recordkeeping duties
  • Dispatch loads, plan routes, and track shipments
  • Monitor and improve safety, and investigate accidents and incidents
  • Pay drivers and administer benefits, advances, and deductions
  • Communicate with applicants, drivers, customers, and vendors
  • Maintain and secure our systems, and detect fraud or misuse
  • Comply with law and enforce our agreements

We do not sell personal information. We do not use driver or applicant information for advertising profiling.

3. Automated decision-making and artificial intelligence

We use software that applies AI in limited ways:

  • Automated text and message replies during recruiting, which can answer questions and collect basic qualifying information. You can ask to speak with a person at any time, and a recruiter reviews the conversation.
  • Transcription and summarization of recorded calls
  • Extracting information from documents you submit, so it can be entered accurately

Hiring decisions are made by people. We do not use automated processing as the sole basis for a decision to hire or not hire, or to terminate employment. 

4. Calls and text messages

Calls placed or received through our recruiting and dispatch systems are carried by our telephony provider and may be recorded and transcribed for quality, training, and recordkeeping. Where the law requires it, an automated announcement discloses recording before it begins.

By giving us your mobile number you agree we may contact you by call and text about your application, employment, or dispatch, including through automated systems. Message and data rates may apply. Reply STOP to any automated text to opt out, or HELP for assistance. Opting out of texts does not withdraw your application — we will reach you another way.

We do not sell or share mobile numbers or SMS consent with third parties for their own marketing.

5. Facebook, Instagram, and social media messaging

When you message Quality Wheels Inc. through our Facebook Page or Instagram account, Meta provides us with:

  • The content of your messages, and any photos or files you send
  • Your name, profile picture, and the platform-assigned account identifier that identifies your conversation with us
  • Where you reached us through an advertisement, information about which advertisement your conversation came from

We use this to answer your enquiry, evaluate your interest in driving positions, and keep a record of our correspondence. Your messages may receive an automated reply, and you can ask for a person at any time. If you go on to apply, we may connect the conversation to your applicant record so your history is in one place.

We store this in our recruiting system alongside our other communications. We do not use it for advertising targeting and we do not sell it. Messaging content is retained for your use of Facebook, Messenger, and Instagram is also governed by Meta’s Privacy Policy, and messages you send pass through Meta’s systems before reaching us.

To request access to or deletion of your messaging data, contact us using Section 12.

6. Recruiting and operations software

Quality Wheels uses Aeon TMS, provided by AeonTMS LLC, to operate its recruiting, dispatch, safety, and communications systems. AeonTMS LLC processes this information on our behalf under contract and does not use it for its own purposes. See the Aeon TMS Privacy Policy.

7. How we share information

We do not sell personal information. We share it only:

  • Service providers acting for us, under contractual confidentiality obligations — software and cloud hosting, telephony and messaging, background screening, drug and alcohol testing, payroll and banking verification, fuel card and toll processing, and telematics providers
  • Regulators and law enforcement — the FMCSA, DOT, state agencies, and others, where the law requires or permits it, including roadside inspections and audits
  • Prospective employers, when a future DOT-regulated employer requests your safety performance history and you have authorized its release, as 49 CFR Part 391 requires
  • Insurers, and legal or professional advisors, in connection with claims, accidents, or disputes
  • Customers and brokers, limited to what is needed to move and track a load
  • In a business transaction, such as a merger or sale of assets, with notice where the law requires it

8. How long we keep information

We keep information as long as needed for the purpose it was collected and to meet legal and regulatory retention duties. Federal motor carrier rules set minimums, including approximately:

After that, information is deleted or de-identified.

9. Security

We use technical and organizational safeguards including encryption of sensitive identifiers such as Social Security and bank account numbers, role-based access so staff see only what their job requires, and access logging. No system is completely secure and we cannot guarantee absolute security.

10. Cookies

Our website uses cookies for basic functionality and to understand site traffic. Most browsers let you refuse or delete cookies, though some features may not work as intended.

11. Your rights and choices

Whoever you are, you may:

  • Ask what personal information we hold about you, and request a copy
  • Ask us to correct information that is inaccurate
  • Ask us to delete information, subject to the retention duties in Section 8 — we often cannot delete DOT-regulated records while the law requires us to keep them
  • Opt out of automated texts by replying STOP
  • Withdraw consent where we relied on it, going forward

For background screening reports, the FCRA gives you additional rights, including to a copy of a report and to dispute its accuracy. The disclosure you sign before screening explains these.

To exercise any of these, contact us using Section 12. We may need to verify your identity first.

13. Children’s privacy

Our services and hiring are directed to adults. We do not knowingly collect personal information from anyone under 18.

14. Changes to this policy

We may update this Policy. Material changes will be reflected by updating the “Last updated” date above, and where the law requires, we will provide additional notice.
